Inventory Exception & Recount Dashboard

An internal dashboard that brings negative inventory, recount discrepancies, verification status, and follow-up into one place.

Situation

A multi-location retailer needed to keep inventory records accurate across its stores. Exceptions such as negative on-hand quantities, or counts that don't match the system, are normal in retail. What matters is reviewing them consistently.

Problem

Negative inventory, recount discrepancies, verification status, and location-level exceptions were difficult to review consistently across stores.

What we built

An internal dashboard that centralizes:

  • Negative inventory
  • Recount discrepancies
  • Verification status
  • Location-level exceptions
  • Operational follow-up
How the exception dashboard works Exceptions from each store feed one exception dashboard, which shows negative on-hand quantities, recount differences, and verification status. People review the exceptions and follow up, and each exception's status stays visible. Store A Store B Store n Exception dashboard Negative on-hand Recount differences Verification status Review and follow up Status visible

Exceptions from every store are brought into one dashboard for review and follow-up.

How it works: an illustrative example

Synthetic data for illustration only. These are not client records.

Location Item Exception Status
Store 2 Product A Negative on-hand (−4) Recount requested
Store 5 Product C Recount differs from system by 6 Awaiting verification
Store 5 Product F Negative on-hand (−1) Verified
Store 7 Product B Recount differs from system by 2 Needs follow-up

Exceptions from every location are reviewed in one place, with their verification status visible.

Outcome

  • Better visibility into inventory exceptions across locations.
  • More structured, centralized exception review.

Possible next steps

  • Show exception trends by location over time.
  • Automatically notify someone when an exception remains unresolved beyond an agreed period.
